Administrative Assistant - Beverage Department Location Houston, TX :

Job Summary The Beverage Department Administrative Assistant provides clerical, administrative, and operational support to the Beverage Manager and department staff. This role helps ensure smooth daily operations, accurate record-keeping, and efficient communication within the department and with external vendors. The individual will assist with scheduling, inventory management, report generation, and customer service-related tasks.

Duties

  • Manage phone calls, emails, and correspondence for the Beverage Department.
  • Organize and maintain department files, records, and databases.
  • Assist with special events, preparing relevant documentation and ensuring coordination between departments.
  • Assist with tracking beverage inventory levels and inputting data into management software.
  • Coordinate orders with suppliers and ensure timely delivery of products.
  • Maintain and reconcile inventory records, ensuring accuracy for audits and reports, including Wine Cellar Locations Binder.
  • Assist with the monthly beverage inventory as needed.
  • Assist with cellar organization and stocking of wines.
  • Maintenance of barcoding system for Wine & Liquor.
  • Generate and process purchase orders, invoices, and expense reports.
  • Assist in preparing financial reports related to beverage sales, costs, and inventory.
  • Respond to inquiries from members and guests regarding beverage offerings, special events, and promotions.
  • Provide excellent customer service and act as a point of contact for any beverage-related concerns.
  • Support front-line staff with beverage-related information and ensure they have up-to-date knowledge of offerings.
  • Ensure compliance with health and safety regulations in handling beverage inventory and storage.
  • Work closely with other departments to coordinate events and operations requiring beverage service.

Job Knowledge, Skills, and Abilities:

  • Strong proficiency in Microsoft Office
  • Familiarity with inventory management systems
  • Excellent communication and organizational skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Ability to lift up to 40lbs.
  • Knowledge of beverage types, including wines, spirits, and non-alcoholic beverages, is a plus.

Education & Experience:

  • High school diploma or GED
  • 2 or more years of experience in administrative role (experience in Hospitality or Food & Beverage preferred)

Pay: $18.00 - $20.00 per hour
